Input Data on your Business Process

Learn how to input data into Business Process-linked reports that require unblocking a trigger

Business Process linked reports can be easily accessed and handled as normal AKTEK iO reports. However, certain sections of them will be blocked based on the Business Process configuration.

Each step of the Business Process is a field or section in the report, so you cannot input data in fields or sections that require a trigger to be unblocked.

⚠️ Anyone selected as the audience in the lane of the Business Process in question can input, handle, and edit its respective fields or section. The audience could be either a user or a group of users.

  1. First, you will need to understand which tasks are targeted to your audience and which are not. In order to do this, go to the respective Business Process and select any lane to see the target audience;

  2. Make sure there is a selected audience (user or group) and check your user’s group assignment. If you are assigned to any of these groups or are selected as a target, make sure to check the report and complete the tasks when necessary;

  3. To complete a report linked to a Business Process, go to the respective report and click Edit. If your user is targeted as an audience for a task, once this moment is reached, you will see a blue rectangle in the top right corner with the next action to complete;

  4. If the Business Process was set up with notifications, every time a relevant task for your user or group is completed, you will get either an email or in-app clickable notifications (or both) that will lead you to the task to be completed;

  5. Depending on your Business Process' setup, it is possible that several users will need to fill in data in order to complete all fields or sections in a given report. Make sure to review that all steps have been completed using the Workflow Status Column on table view;

  6. Completed steps will be blocked unless the Business Process is set up differently. Usually, completed sections or fields will be blocked unless there is a step that sends the user to re-do or revisit them;

  7. Click save after completing any task/step to trigger notifications and continue the process.

💡 Make sure to see the status of your process, this will give you a hint on which step the process is at. To avoid missing this information, setting up notifications is recommended for all key steps in a Business Process.

💡 All Business Processes connected reports work as any other AKTEK iO report, meaning you will be able to draw charts and create maps with the inputted data if necessary.
