Manage Data Access within your Reports

The Conditional Access Control allows you to restrict access to specific database entries

Permissions control which fields users can see in a table, while Conditional Access Control restricts the rows of data visible in the database based on their content.

By setting an unlimited number of conditions using AKTEK iO's Smart Filters, access to subsets of the data can be restricted to selected users and groups. The resulting subset of the data visible to the user will be the union of all the conditions relevant to itself.

See how to set up conditions by following the steps below:

Go to Admin > Data  Isolation > Conditional Access Control

  1. Select the report you want to start limiting access to for your users.

  2. You can select the conditions that will limit the data your target audience will see. You can select among the following options:

    • Everything: to condition all your data

    • Everything else: if you have created rules previously to color specific data, you can select this option to condition everything else not covered by prior rules

    • Choose Condition: to set rules that will determine what data to limit using the smart filter

  3. When you select Choose condition, a window query will open, and you will be able to create rules or a group of rules that will determine what data subsets to limit.

  4. Select the target Audience among the users or group of users available in your company. You can select one of the following types of audiences:
    • Everyone: All users will have restricted access to the report based on the specified conditions
    • Everyone else: any users or groups that have not been selected as the target audience
    • Select audience: all users or groups of users who are chosen to have restricted access to the report

⚠️ Once you have added the audience and the conditions, make sure to select the data that Everyone else will see.
